Renting out equipment is a business built on trust and memory. You lend a camera to a regular for a weekend, a pressure washer to a contractor, a sound system to a family function. Then the questions begin. Who has the generator? Is the projector back from Friday? Did he leave a deposit, and how much? Was that scratch on the lens there before?

If you rent out tools, cameras, party furniture, event equipment or tourist gear, the notebook sits at the centre of the shop and carries a lot of weight. It has to remember dates, amounts, customers, conditions and promises. The more items you own, the more likely something slips through.

This post sets out a practical way to run a rental business with clear availability, tracked deposits, proper returns and a record of who you rented to.

The four questions every rental owner asks

Almost every worry in a rental business falls into four questions. Is this item available on the dates the customer wants? Who has it now, and when is it due back? What deposit did we take, and what do we owe back? What condition was it in when it left, and when it returned?

A notebook can answer each of these with enough searching, but not quickly, and not when you are standing at the counter with a customer waiting. The aim of a rental system is to answer all four in seconds.

Availability you can trust

PlanzEvo Biz lets you list your rental items and see their availability. When a customer asks for the camera on Saturday, you check, and if it is free you can take the request. If it is already out or reserved, you know before promising anything.

This is the rental version of avoiding a double booking, and it matters just as much. A promise made in the notebook and forgotten is a lost customer and a damaged reputation.

Customers with an account can also send requests (customer ordering is included from Pro), which you review and approve. That keeps you in control of what goes out, while saving you from long chains of messages asking "is it free?".

The rental flow: request, approve, dispatch, return

A rental has stages, and writing them down makes each one clearer. PlanzEvo Biz follows a simple flow:

  • Request: the customer asks for an item and dates.
  • Approve: you check availability and accept, or decline politely.
  • Dispatch: the item leaves your shop, and the record shows it is out.
  • Return: the item comes back, you check it, and the record is closed.

At any moment, you can see which rentals are waiting for approval, which items are out and which are due back. A rental that should have returned yesterday stands out instead of hiding in a page of handwriting.

Deposits: take them, track them, return them

Deposits protect the shop, but they also create a duty to return them promptly and correctly. Mixed-up deposits cause some of the most heated arguments in rental, usually because nobody wrote down exactly what was taken or whether part of it was kept for damage.

When you record a rental, you note the deposit taken for each item. At the end of the rental, you record what was returned and, if necessary, what was kept and why. The customer and the shop are looking at the same figures.

For owners who handle many items, keeping track of how much deposit money you are holding on behalf of customers is also valuable. It prevents the day when you realise the cash drawer cannot cover what you owe back.

ID capture: knowing who you lent to

Lending valuable equipment to a stranger requires some care. Most rental shops ask for identification, and the sensible practice is to record it properly instead of keeping a half-readable photocopy in a drawer.

PlanzEvo Biz supports ID capture as part of a rental, so the identification is stored with the rental record. If an item is not returned or something goes wrong, you know who you lent it to and when.

A word of care: identification documents are personal information. Collect only what you need, tell the customer why you need it, and handle it respectfully. Customers who understand that you take care of their details tend to be more comfortable handing them over.

Late returns and damage notes

Items come back late and sometimes damaged. These situations are far easier when there is a record made at the time. PlanzEvo Biz lets you add late and damage notes to the return, noting the condition, what you observed and what was agreed.

If a lens has a new scratch, you can compare with the condition recorded at dispatch. If a rental came back two days late, the record shows it, and you can decide whether to charge for the extra days. Either way, you are working from facts both sides can see, which keeps the conversation calmer.

Over time, the notes show patterns, such as one item that is repeatedly returned damaged, which might need replacing, or a customer who is always late.

A simple daily routine

Rental shops run best on a short routine, repeated every day. In the morning, open the list of items due back today and see who you are expecting. As each item returns, check it, add any notes and close the rental. Before closing, glance at items that should have come back but have not, and decide who to call.

In the evening, look at tomorrow's dispatches and make sure each item is ready, clean and tested. Five minutes at each end of the day removes most of the surprises, and it is far easier to keep up than a weekly clean-up.

The routine also trains your helpers. A new team member who follows the same list each day learns the shop faster than one who relies on stories from the owner, and the shop does not depend on one person's memory.

Starting your rental records

Begin by listing your most valuable and most-requested items. Add the rentals currently out, with their return dates and any deposits held. From then on, take every new request through the flow. Within a few weeks, you will know exactly where each item is, without searching.

Starter is LKR 3,000 a month, Pro is LKR 5,000 and Premium is LKR 7,500, and annual billing is charged as 10 months. The pricing page has the details, the PlanzEvo Biz page explains the platform, and the waitlist keeps you posted.

Know where every item is

You have invested in your equipment. A clear record protects that investment. When you are ready, create your PlanzEvo Biz account and add your first rental item.

Key takeaways

  • • Every rental question comes down to availability, location, deposit and condition.
  • • Check availability before promising dates, and approve requests deliberately.
  • • Follow the flow: request, approve, dispatch, return.
  • • Record deposits taken and returned so both sides see the same figures.
  • • Capture ID with care, and keep late and damage notes made at the time.
